Role Overview

We are seeking a highly articulate, process-driven Operations & Compliance Specialist to oversee the critical operational engines of our company. This dual-focus role serves as the structural bridge between Sales, Legal, Finance and HR. You will be responsible for translating closed sales into flawlessly executed legal and billing structures, while simultaneously managing end-to-end local HR administrative operations in strict compliance with Bulgarian employment laws.

Interacts with: Sales team, Business Operations Manager, VP Go-to-Market, Managing Director, CEO, Head of Engineering, Head of Support.

Key Responsibilities 

1. Sales Operations, Contract Management & Legal Guardrails

  • Client Document Verification: Executes meticulous background checks, collecting and verifying client corporate files, trade register certificates, and legal entities’ operational documentation.
  • Custom Agreement Formulation: Builds, audits, and customizes standard and bespoke client proposals and commercial contracts based on direct and clear parameters provided by the Sales team (e.g., Pay-As-You-Go models, commitment mandates, 3% EDP clauses, 5% active support fees, discounts, rebates, etc.).
  • Legal Department Interface: Acts as the primary liaison to the corporate Legal team; submits contract deviations, reviews, agreement drafts, track custom addendums, manages company contract renewals, and escalates complex structural liabilities for approval.
  • Digital Transaction Management: Owns the full corporate DocuSign architecture. Provisions outbound contracts, verifies signing hierarchies, monitors outstanding execution pipelines, and archive signed copies securely as per the company’s internal guidelines.
  • Revenue Assurance & Pricing Audits: Audits incoming sales deal sheets to ensure calculated custom percentages match actual outputs before the contract reaches the client.

Additional capabilities will be considered as a plus: 

  • Technical understanding of internal workload allocations in the company’s CRM /Monday/ 
  • Early adopting skills for new processes and scripts on the company’s CRM /Monday/ 
  • Self-learner and self-starter on vendor portals /AWS, Cloudflare, MongoDB, Wiz, Google Cloud, etc./ – be able or readiness to learn to navigate and manage respective vendor’s portals and partner hub sites 
  • May act as back-up to the Marketing Manager and the Marketing Assistant
  • Availability to travel 2-3 times a year on company events for 2-4 days duration each

2. Post-Sale Operations, Project Transition & Customer Setup

  • Pre-Billing Environment Architecture: Builds custom client sub-billing accounts and multi-tiered billing parameters inside internal frameworks before and on customer handoff.
  • Cross-Functional Transition Onboarding: Structures, schedules and leads post-sale alignment and onboarding calls between the Client, Europe Cloud, and the respective Account Executive/Sales Rep.
  • CRM Lifetime Accuracy: Maintains absolute data hygiene across the sales pipeline, converting won accounts from “Prospect” to “Active Client,” documenting specific service-level agreements (SLAs) and products.
  • Performs customer onboarding and offboarding in the Company’s CRM
  • Handles customer contract generation and uploading of agreements for signatures as per internal processes and guidelines
  • Tracks the progress and completion of vendor funds (requests for approval and claims to vendors)
  • Supports marketing claims (with the Marketing Manager and the Marketing Assistant)
  • Supports the finance team on private offers and order forms (b2b orders preparation and legal checks)

3. Bulgarian HR Administration & Labor Compliance

  • Employment Contract Drafting: Independently drafts, modifies, and issues legally binding labor contracts and annexes in strict alignment with the Bulgarian Labor Code (Кодекс на труда) and with corporate Legal team.
  • National Coding & Payroll Synchronization: Interfaces directly with accounting and external payroll functions to reconcile company job titles with official NKPD codes (НКИД/НКПД), ensuring error-free declarations to the National Revenue Agency (NRA/НАП);
  • Civil & Employment Paperwork Oversight: Gathers, reviews and files mandatory employment pre-requisites (e.g., medical certificates, copies of labor books/NRA reports, labor agreements, employment declarations, copies of identification documents – and all required by Bulgarian law employment documents) to the company’s Accounting and Payroll agency.
  • Full-Cycle Employee Onboarding: Manages the administrative rollout for all new internal hires—coordinating first-day protocols, issuing internal policy manuals, tracking regulatory probation timelines, onboard and making all necessary updates in the Company’s CRM.
  • Supports the finance team: Provides reports and data on current and offboarded employees, company licenses status, activation or de-activation; also supports with forecast numbers on new employees costs: salary, office equipment, start date of labor contract, etc. 
  • Internal CRM/HRIS Management: Acts as the master administrator for internal personnel data, instantly updating internal CRM/HR systems to track starting dates, organizational structural shifts, and legal leaves of absence, onboarding and offboarding of employees at the company in the company’s CRM as well
  • Clean up and maintaining of employees accounts and licenses within the company

Candidate Profile & Requirements

  • Education: Minimum of a Bachelor’s Degree from an accredited university. A degree from a Bulgarian Law Faculty (Юридически факултет / Право) or a designated Paralegal qualification is highly preferred.
  • Language Proficiency: Excellent, native-level or fluent C1/C2 English (written and spoken) is an absolute prerequisite. The candidate must confidently handle complex corporate jargon.
  • Regulatory Acumen: Good working knowledge of the administrative processes surrounding the Bulgarian Labor Code and standard commercial contract structures will be considered an advantage.
  • Technical Stack Familiarity: Hands-on experience navigating DocuSign, Zendesk, major CRM platforms (Monday), and advanced MS Excel functions (data validation, structural auditing).
  • Personal Traits: High emotional intelligence, absolute discretion regarding confidential legal and payroll data, a microscopic eye for detail, and the ability to ruthlessly prioritize tasks under strict weekly deadlines.
